A sensible pilot starts with one repeated, well-understood task; it does not start with a promise that AI will replace every employee.
1. Locate repetitive work
List tasks such as moving submitted forms to a register, notifying a manager about an order, reconciling routine records or preparing a draft reply.
Document how often each task happens, how long it takes and where information comes from. Do not assume time savings until measured.
2. Map the inputs and exceptions
Write the normal path and at least three exceptions: incomplete input, duplicate submission, system downtime or an unexpected request.
A reliable automation needs validation, duplicate protection, a human handoff and a visible failure state.
3. Protect business and customer data
Identify which information is confidential, what must remain on approved systems, and who may see logs and records.
Avoid putting sensitive documents into a free public AI service unless its privacy and commercial terms are acceptable. Minimise retention and access.
4. Keep people responsible
Decide which actions the system may perform automatically and which require human approval.
Consider a draft-first approach for customer communication, commercial decisions, employment matters and error-prone data extraction.
5. Pilot, observe and decide
Choose a representative sample, establish a baseline, record exceptions and compare outcomes.
Track time saved, correction rate, customer experience and any infrastructure or message costs. Stop or revise the pilot if it creates new work.
Questions to ask before committing
Do I need a paid AI API?
Not always. Some workflows use ordinary rules, local tools or existing systems. The required capability and hosting resources should be evaluated first.
Can every decision be automated?
No. Sensitive, ambiguous and high-consequence decisions should retain appropriate human review and accountability.
